Why the original text never leaves your hands
A knowledge base everyone can read into does not get filled. Anyone who knows that management reads along with every half-sentence starts phrasing carefully — and eventually writes nothing at all. At that point the store is worthless.
So the rule here is unambiguous and without exception: only the person who captured the original text can see it. Not colleagues, not management, not in the setup area either. What Dagomi passes on is at most the summary — and even that only if the author explicitly shares it.
Private does not mean inactive
A private thought still works. It flows into your drafts and into the hooks Dagomi suggests to you — just exclusively for you. So the difference between private and shared is not “used” versus “unused”, it is “only for me” versus “for colleagues too”.
The model is the private calendar appointment: it blocks your time perfectly normally, but nobody sees what it is about.
Four kinds of knowledge — and what each may do
Dagomi sorts every thought into one of four drawers: know-how (facts, procedures, figures), stance (opinion, point of view), experience (lived cases) and about a customer (something about one specific customer). This filing is not cosmetic, it decides how the thought may be used.
Only know-how may answer a customer question directly. A stance never does — it flows exclusively into drafts you read and approve first. That way no personal opinion can reach a customer unchecked.
What later becomes a follow-up
The real purpose shows up weeks later. When Dagomi suggests getting back in touch with a quiet customer, it first looks for a genuine hook — and finds it in your thoughts. “He is going sailing on the Baltic again this summer” turns into a short, personal message that sells nothing.
If Dagomi finds no such hook, it suggests nothing. That rule is deliberately hard: better no message than one that reads like a mail merge.
How to use it

Dictate instead of typing
Click “+ Add” and switch to the “Thought” tab. On your phone use the keyboard microphone, on a PC the Windows key together with H. Just start talking — half-sentences are enough.

Assign it if it belongs to someone
If it was about a specific customer, select them. If contact persons are maintained there, you can also name the person you spoke with — a later follow-up then goes to exactly them and not to just anyone in the company.

Wait for the filing
The thought appears in your list right away, at first marked “being filed”. Within a few minutes the title, summary and category are there. If it fails once, Dagomi says so honestly and you can trigger it again — your original text is never lost.

Decide: private or for the team
Every new thought starts out private. On the card you share it with the team in one click — colleagues then see the summary, never the original text. You can undo this at any time, and the filing stays intact.

For know-how, check the customer release
Below the card it says “may answer customer questions directly”. For know-how that makes sense and is usually already set. For opinions and personal observations you leave it off.

Retire outdated items instead of deleting them
If a thought no longer holds, choose “Stop using”. It is kept but no longer drawn upon. You can of course also delete it permanently — both only as its author.
Good to know
- Only the author can edit and delete. Attempting to change someone else’s thought is rejected on the server — not merely hidden in the interface.
- The Setup → “Team knowledge” area contains only shared items, and even there only as summaries. Private thoughts never appear there, not even for management.
- Thoughts trigger nothing by themselves. They send no email and create no suggestion without your action — they sit ready until you start something.
Frequently asked questions
Can my manager see what I dictated?
No. Only the person who captured it can see the original text — regardless of role. Management too sees only the summaries of thoughts whose authors explicitly shared them in the “Team knowledge” area. Private thoughts do not appear there at all.
Is a private thought used at all?
Yes, fully — but only for you. It flows into your drafts and into the hooks Dagomi suggests to you. Colleagues neither see nor notice anything of it.
Do I have to pick a category?
No. Capturing is deliberately kept as cheap as possible: one text field, nothing else. Dagomi adds the title, summary and category in the background. Anything that takes effort at capture time simply does not happen in daily work.
Can Dagomi send my opinion to a customer?
Not without you. A stance may never answer a customer question directly — it flows exclusively into drafts you read and approve first. Only know-how can go straight into an answer, and only if you release it.
What happens to my thoughts if I leave the company?
What you shared remains with the team as a summary — that is what sharing is for. Your private original texts stay tied to your account and are not handed over to anyone else.
